Welcome to American University! Information for New Full-Time Staff

Sign your offer letter

It is important that you acknowledge your offer by signing and submitting your offer letter before you begin.

Claim your AU account

Check your email for a link to claim your American University account. Your account gives you access to Workday, AU's technology system for most HR activities, including onboarding, as well as the AU portal, and other systems that we use at the university.

The first time you log into an AU system, you will be guided through the process to install Duo, our multi-factor authentication.

Complete your onboarding tasks in Workday

You’ve been assigned onboarding tasks to complete as a new hire at AU. Log in to Workday and complete your tasks prior to your start date. Please note that new onboarding tasks will appear as you complete assigned tasks.

  • Wage Theft Statement

  • Foreign National Status

  • Personal Information

  • Government IDs

  • Form I-9, Employment Eligibility Verification - all three steps must be completed within 3 days of your start date.
    This federal requirement shows your proof of U.S. citizenship or legal authorization to work in the U.S.

    • Complete Section 1 of the Form I-9 in Workday.

    • Upload your acceptable I-9 documentation to Workday.
      IMPORTANT: This is currently not a task in Workday but must be done to complete the process. Upload your documents in your "Documents" found at:
      • Your Worker Profile > View Profile > Select Personal from the left navigation > Documents tab at the top
    • Meet with the Office of Human Resources to complete Section 2 (reviewing and verifying documents). Present your original, acceptable, and unexpired documentation that you uploaded to Workday to an authorized AU representative. Verify your Form I-9 by:
      • Visiting the Office of Human Resources

        Monday – Friday, 9:00am – 5:00pm
        Walk-ins only. No appointment needed.

      • Schedule a virtual appointment to have your documents verified remotely.

Your offer letter will advise you when you are scheduled to attend new hire orientation. Please see your letter for details.

Orientation is held virtually and includes an overview of the university and technology training.

Once you've started in your new position, don't forget to finish any outstanding new hire tasks.

If you haven't already done so,

  • Complete your onboarding tasks in Workday as soon as possible
  • Complete your Federal Form I-9 (Employment Eligibility). Your offer of employment is contingent upon you providing proof of employment eligibility in the United States and must be completed no later than three (3) days of your first day of work. There are two sections of Form I-9 that are completed in three steps:
  1. Complete Section 1 of the Form I-9 in Workday.
  2. Upload your acceptable I-9 documentation in Workday
    IMPORTANT: This is currently not a task in Workday but must be done to complete the process. Upload your documents in your "Documents" found at Your Worker Profile > View Profile > Select Personal from the left navigation > Documents tab at the top.
  3. Meet with the Office of Human Resources to complete Section 2 (reviewing and verifying documents). Present your original, acceptable, and unexpired documentation that you uploaded to Workday to an authorized AU representative. Verify your Form I-9 by:

  • Complete the Hybrid Work Agreement if you work remote some days of the week or a modified work schedule.
  • Elect your benefits within 30 days of your hire date (medical & prescription, dental, flexible spending accounts, optional life and AD&D insurance, and the legal plan)
  • Sign-up to contribute to the American University 403(b) Retirement Plan. You are eligible to enroll in the Plan immediately without a match and can enroll in Workday. After one year of qualifying service (you have worked 1,000 hours and are scheduled to work at least 20 hours a week), you will automatically be enrolled in the Plan and receive the 2:1 match. If you have a year of service at another non-profit, you may be eligible for the match now. Learn more on our Benefits Retirement page.
  • If you're commuting by car to work, register your car for:
    • a pre-tax monthly permit for $126 per month via payroll deduction, or
    • the self-park discount rate of $0.75/hour (plus $0.35 service fee) to park in all general parking areas on campus through the PayByPhone mobile app. You must have/use an Affiliated Login to access this code. If you login using a guest account, you will not have the ability to choose this parking option.
  • If you work a full-time schedule in a full campus presence modality, you are eligible to receive the Transit Subsidy for Full Presence Staff. To receive the transit subsidy, complete the online Transit Subsidy Benefit Annual Application.
